Email marketing software for UK restaurants: what to check
Email marketing software for UK restaurants: check booking integration evidence, plan seasonal campaigns, note pricing, and review consent and deliverability.
What to take away
- Restaurant email is measured in covers booked, so test whether the platform can write a reservation back to the contact record before you compare prices.
- Booking integrations matter more than template libraries. A platform that cannot see party sizes or no-shows sends generic campaigns.
- UK consent rules follow every diner on your list, however the address was collected.
- Authenticate your sending domain before a seasonal campaign, because the bulk sender rules at the major mailbox providers apply to restaurants too.
- Budget for a per-contact tier plus add-ons such as SMS and review requests.
Restaurant email is judged on covers, not clicks
Email marketing software for restaurants should support the booking journey. A restaurant list is not a retail list. People on it booked a table, ordered a takeaway or joined a loyalty scheme, and their next action is a booking.
If the software cannot read booking dates and no-shows, every campaign is guesswork. Generic supplier guides score template counts and drag-and-drop builders instead, which matters far less than a booking writing back automatically.
Booking integrations decide what you can send
Check three things before you shortlist. First, whether the platform has a documented integration with your table management system. Second, whether it can trigger a message from a booking event, such as a cancelled table or a no-show. Third, whether it writes data back, so a diner who has not visited for six months drops into a win-back list.
For a documented example, Mailchimp's OpenTable integration uses guest behaviour and preference data for targeted campaigns, automatically updates guest opt-in and opt-out requests, and requires an OpenTable Core or Pro plan.
That documentation confirms targeting and opt-in and opt-out updates, but does not establish whether the connection triggers messages for cancellations or no-shows, or writes reservations back. Verify those points separately before treating the integration as a fit.
Booking integration checks
- Documented integration with your table system
- Trigger from booking events like no-shows
- Writes data back to win-back lists
- CSV export works for one site only
- Demonstrate sync in trial, not demo
Where no integration exists, a scheduled CSV export works for one site but is brittle across several. Ask the vendor to demonstrate the sync in a trial using your own booking system, not a demo account.
Running campaigns around the UK calendar
UK hospitality demand has a predictable shape. Christmas party bookings open in the autumn, and family occasions fill the calendar from Mothering Sunday onwards.
A platform with saved segments and scheduled journeys lets you build each of these once and reuse it.
A short seasonal sequence could be:
- Segment opted-in diners who have not booked for the occasion.
- Send them an invitation to the seasonal offer.
- Send a reminder to eligible diners who have not booked.
- After the occasion, follow up with a return-visit message and use booking outcomes to shape the next segment.
Seasonal campaign sequence
- Build segmentbooked past year, not 90 days
- Set send date against booking window
- Suppress anyone who has already booked
- Record who approved the offer
What restaurant email software costs in pounds
Tools are usually priced on contacts, not covers. A busy site with a small list can therefore pay less than a quiet one with a large list.

The listed starting prices use different billing measures, so they are not a like-for-like comparison for a restaurant.
Named platforms with public entry pricing include Brevo, MailerLite, Mailchimp and Klaviyo. Typical UK starting points in pounds are below. Brevo publishes a free tier of 300 emails a day and paid Starter tiers from around £6 a month for 5,000 emails.
MailerLite publishes a free tier up to 1,000 subscribers and paid tiers from around £8 a month for 500 subscribers. Mailchimp publishes a free tier up to 500 contacts and paid Essentials tiers from around £11 a month for 500 contacts.
Klaviyo publishes a free tier up to 250 contacts and paid email tiers from around £15 a month for 500 contacts. Dotdigital and Force24 quote custom pricing. Ask each vendor for a written range for your contact count and booking integration.
Treat these as typical ranges, not quotes. Check current vendor pages, because list prices and VAT treatment change; the figures above do not say whether VAT is included.

Consent and deliverability before the first send
Marketing email to diners must be considered under PECR and the UK GDPR: PECR governs sending electronic marketing, while the UK GDPR applies to processing personal data. Consent is the safest route for restaurants. The ICO's direct marketing guidance explains how to collect and record it. Record when and how consent was given, and the wording shown, so you can demonstrate what the diner agreed to.
The Privacy and Electronic Communications Regulations 2003 govern electronic marketing to individuals. Their narrow soft opt-in applies where you obtained the address directly from the person during a sale or negotiations for a sale of your own product or service. You may market only your own similar products or services, and you must have given the person a clear chance to refuse marketing both when collecting the details and in each message. A restaurant should not assume a booking list qualifies: check how the details were collected and what the diner was offered.
Set up SPF, DKIM and a DMARC policy on the sending domain before your first campaign. Unauthenticated bulk mail is filtered hard by the major mailbox providers.
If a campaign still underperforms, work through the usual causes of UK deliverability problems before blaming the platform.
Common questions
Do I need separate software if my booking system already sends emails?
Booking confirmations are transactional and usually fine as they are. A separate platform earns its place when you want segments, journeys and reporting across bookings, takeaway orders and loyalty sign-ups.
Is Mailchimp suitable for a UK restaurant?
Mailchimp handles lists, journeys and reporting well enough for a single site, and its free tier suits a small list. Check the booking integration before you commit, because that decides what the platform can automate.
Can I email diners who gave an address at the till?
Only with a clear opt-in, or under the narrow soft opt-in rules. A booking is not marketing consent, and an address collected for a receipt is not permission to send offers.
How much should a single-site restaurant budget?
The £64 total above is an illustrative calculation, not a reliable budget or vendor quote. Request current prices for your contact count and any booking, SMS or review-request add-ons, and ask whether VAT is included.
