Email marketing for UK tradespeople: quotes, reminders and deliverability
Quote to reminder sequences for UK plumbers, electricians and other trades, with SPF, DKIM and DMARC advice, attachment rules and PECR consent notes.
What to take away
- Email marketing for tradespeople works best as one sequence covering the quote, the booking, the reminder and the repeat job.
- Send quotes as links to hosted PDFs, because heavy attachments and photo dumps lower inbox placement.
- Publish SPF, DKIM and DMARC on your trade domain before you send at volume.
- PECR treats sole traders and partnerships as individuals, so keep dated consent records for those addresses.
- Write every email to be read on a phone in a driveway, in under ten seconds.
Build the quote follow-up sequence first
Email marketing for plumbers and electricians is mostly follow-up. Most jobs are lost to silence rather than price, and a quote is a lead with a shelf life.
Quote follow-up sequence
- Day 0Send quote with PDF link
- Day 2One-line nudge on price
- Day 6Proof photo and local review
- Day 12Deadline email naming expiry
- Day 0send the quote with a PDF link, a fixed price, the scope and a validity date.
- Day 2send a one-line nudge asking whether the price needs explaining.
- Day 6send proof, one photo of a similar job and a review from the same town.
- Day 12send a deadline email naming the date the quote expires.
Stop the sequence on a reply, a booking or a clear no. Messages that keep arriving after a refusal push customers to mark you as spam.
Message types and the timing that suits trade work
Message types and timing
| Message | Send when | Must contain |
|---|---|---|
| Quote sent | within two hours of the site visit | price, scope, validity date |
| Follow-up nudge | 48 hours after the quote | one question, no new offer |
| Booking confirmation | when the quote is accepted | date, arrival window, access notes |
| Visit reminder | 24 hours before the job | engineer name and mobile number |
| Service reminder | ten to eleven months after a boiler service | annual Gas Safe check |
Quote follow-up emails in the UK land better in the same afternoon than on a Friday. Length matters less than arriving while the customer is still deciding.

Photos, attachments and site-based sending
Photos win trade work, but a 20MB email with eight images invites filtering. Host the quote in Drive or your job software and link to it instead. Compress photos before sending and use one image per email. Gmail rejects attachments over 25MB.
Many trades send between jobs, from a phone, on 4G. That produces bursts of near-identical messages from a mobile connection. Schedule the quote to leave within the hour instead of sending live from the driveway.
Send every quote before you leave the postcode. Delay is how the job goes to someone else.
Consent, the soft opt-in and sole traders
PECR covers electronic marketing to UK subscribers, and sole traders and partnerships count as individual subscribers. Cold email to them needs consent. Limited companies fall outside that rule.
Existing customers sit under the soft opt-in. You may email similar offers if you offered an opt-out at the point of sale and in every message. Record the date and source of each consent, and check the ICO direct marketing guidance when a campaign changes audience.
Authentication for a trade domain
Send from your own domain, such as smithplumbing.co.uk, rather than a free mailbox. Add an SPF record listing every service that sends for you, so receiving servers know which addresses may send for your domain. Sign with DKIM so each message carries a verifiable signature.
DMARC ties the two together. Start at p=none to collect reports, and move to quarantine once they look clean. Trade email deliverability also tracks complaint rates, bounce rates and steady volume. If open rates fall across every message, our page on choosing a deliverability consultant in London sets out audit scope and the questions that expose resellers.
Example: the annual boiler service reminder
Take a customer whose boiler was serviced in March. Email reminders for service businesses should start ten months later, in January. Run this checklist before the sequence goes live.
Annual boiler service reminder
- Confirm the Gas Safe registration number appears in the footer.
- Offer two dated slots rather than an open calendar link.
- Include a one-click opt-out that works without a login.
- Suppress anyone who booked or complained in the last 30 days.
Booked customers re-enter the sequence the following year, which turns one job into recurring work.
Software, support and where to read next
Trigger depth decides whether a platform can run a twelve-day quote sequence. Ask how many steps and conditions it supports, and whether a reply stops the flow. Our guide to email automation for UK small business covers pounds-based pricing lines, UK support hours and accounting links such as Xero and QuickBooks.
If you also serve walk-in customers from a showroom, a unit or a cafe, the booking and seasonal timing advice in email marketing software for restaurants applies just as well.
Common questions
How many quote follow-up emails should I send?
Three over twelve days suits most domestic work. Stop on any reply, booking or refusal.
Do I need consent to email a sole trader?
Yes. PECR treats sole traders and partnerships as individuals, so cold email needs consent unless the soft opt-in applies.
Can I attach a quote as a PDF?
It works for small files. Gmail rejects attachments over 25MB, and heavy emails are filtered more often than links to a hosted quote.
Should I send from my own domain?
Use your own domain with SPF, DKIM and DMARC. Free mailboxes limit authentication and reputation control.
